
Asset Optimization
Problem
Change management can be difficult to gain adoption across an organization, even if the change is an improvement for everyone involved. Voya’s implementation and utilization of Seismic was suffering from a lack of buy in from stakeholders as well as content owners. The platform was mainly used as a replacement for a SharePoint environment that simply hosted PDFs and presentations. The powerful platform was not being utilized efficiently, which created resistance from client facing users. Based on my prior experience, I knew Seismic could be leveraged better to reduce duplicate materials and improve the user experience, but I wasn’t sure on how to bring that to fruition.
Solution
I collaborated with Compliance, Creative Operations, and Sales Enablement teams to create a comprehensive procedure to unify efforts across all stages when developing customizable assets. Once a procedure was established, I was able to reduce and retire over 20% of assets through leveraging Seismic’s LiveDoc capability, increasing time and cost savings across Marketing and Product teams. To share the successes with the broader Marketing organization, I led training sessions to educate and socialize the procedure and promote change management.
Multi-Select
The State of the States and PFML Private Plan Checklists Brochures benefit from this integration by promoting self-service and easy customization for users. This eliminates intervention from marketing to continuously edit materials based on the states a specific client or broker do business in.
Simple Customizations
Prior to joining the Health Solutions team, there was an abundance of duplicative material that has minor differences. Also due to the nature of Health Solutions, different versions need to exist based on the insurance company (non-New York vs New York).
I identified an opportunity to leverage Seismic to control the situs state differences and consolidate versions into one document. Previously, the non-NY and NY versions would be reviewed at different times in the year, which lead to duplicative reviews and updates across almost identical assets. Consolidating pieces has lead to a significant reduction in materials and time spent by product, compliance, and marketing.
Highly Customizable Materials
Due to the programming complexities and time constraints of highly customizable LiveDocs, I collaborated with the Sales Enablement team to utilize radio buttons, drop down menus, and pre-populated text fields to streamline the customization process for users. This combination of features strikes a balance for all parties to deliver highly customizable assets in a short delivery time, reduce the number of assets and operating costs, and keep support in house.
