Voya Implementation Series

Problem

Health Solutions Implementation Managers were looking for a consistent, repeatable process to send out professional, aesthetically pleasing communications to onboarding clients and brokers. At the time, they were utilizing were email templates with strictly text and no design elements, which differed from and lagged behind their Wealth Solutions counterparts. Wealth Solutions already had a designed, branded email series in place and provided clients a cohesive implementation experience.

Due to the Health Solutions products having different requirements, the Implementation Team faced significant challenges with adopting branded communications across their whole product offering. To enhance their communications, 40 distinct emails would need to be created to support the implementation process.

Solution

When I assumed management of this initiative, the project was already 6 months behind schedule with little progress, causing concern with Implementation leadership. Upon meeting with leaders, I enacted project management tactics to streamline communications, organize feedback and revisions, and keep the team informed on each email’s status throughout the whole project.

Once the project organization plan was in place, I managed the design, stakeholder review process, compliance and brand review, and final delivery. By enacting and gaining alignment with the team on the project, I got the project back on schedule to met all of the team’s original deadlines and earn leadership’s satisfaction.
